How to Log In to TIPS

1. Click HERE to access the TIPS website. You can also open your favorite web browser and enter: https://tips.southerndesigninc.com into the address bar.
2. Enter your user name. Your user name should be your first initial + last name.
3. Enter your password. Your initial password will be in the following format: Upper case first initial + lower case last name + “123.” (without the quotes). So, if your name is Bob Wiley, your initial password is “Bwiley123.” (without the quotes).
4. Click the “Login” button and your Dashboard will open
Change Your TIPS Password


There are two ways to change your password:
You Know Your Password
1. Log in to TIPS
2. From your Home dashboard, click the “Account” button.
3. Click the “Change Password” button to open the “Change Your Password” dialog box. Enter your current (Old) password, then enter your new password two times.
4. Click the Save button.
Forgot Password
1. Click the “Forgot Password” link at the Login screen.
2. Enter your user name, then click “Submit”
3. An email will be sent to you with instructions to change your password.
TIPS Time Entry – Time Entry Using the Online Form

1. Click HERE to access the TIPS website. You can also open your favorite web browser and enter: https://tips.southerndesigninc.com into the address bar. Log in to TIPS.
2. Select the Week Ending date – By Default, the Week Ending date for the previous week will be selected.
Note: Each row will contain a unique Job, Cost Code, and Earnings Type combination.
3. Select a Job From the drop-down under the Job Number column. If you do not see the Job that you worked on, please contact your manager and ask him to assign you to the Job.
4. Enter the number of hours worked on the selected Job under the day (Sun, Mon, Tues, etc.) columns.
5. Enter a brief Description of what you worked on.
6. Select the Cost Code, Work Center, and Earnings Type.
7. Click the SAVE button!
Tip: You can delete an entire row by clicking the red button to the right of the row.
TIPS Expense Entry – Expense Entry Using the Online Form

1. Click HERE to access the TIPS website. You can also open your favorite web browser and enter: https://tips.southerndesigninc.com into the address bar. Log in to TIPS.
2. Select the Week Ending date – By Default, the Week Ending date for the previous week will be selected.
3. Select or enter the Date, Place of Purchase, Expense Type, Expense Amount, Job Number, Cost Code and Comments.
4. Click the SAVE button!
Tip: You can delete an entire row by clicking the red button to the right of the row.
Credit Card Transaction Management

Credit Card Holders
1. Click HERE to access the TIPS website. You can also open your favorite web browser and enter: https://tips.southerndesigninc.com into the address bar. Log in to TIPS.
2. From your Dashboard, click “Credit Card Dashboard” –> “My Transactions” to open your list of credit card transactions.
Note: By Default, the “Show All” checkbox at the top of the form is false. If you would like to see transactions from previous weeks, click “Show All”, then use the left and right arrows to navigate month to month.
3. Check the “Category” field to make sure the value is consistent with the purchase. If you need to change the default Category, click the ‘X’ in the Category field to display all of the available categories.
4. Enter the Job Number and Cost Code. Please contact your manager if you do not know the Job Number or Cost Code for the job(s) you worked on.
5. Click the SAVE button!
Managers
Note: If the Card Holder has records to approve, the bar will be dark gray and will have the ability to expand down. You will also see some summary information on the bar: Records Completed, Total Purchase Amount, Jobs
4. Once you have reviewed your employees’ transactions, check the “Approve Record” check box on the right-hand side of the screen.
5. Click the Save button at the bottom of the page.
Accounting
2. Monday – <Accounting User> to click “Credit Card Dashboard”, “Notify Users of Transactions” to send emails to all credit card holders. The email indicates to the CC holder that they have new transactions to approve.
3. Tuesday – The CC holder clicks “Credit Card Dashboard”, “My Transactions” and adds a Job Number and Cost Code to each transaction.
4. Wednesday – The Manager of the CC holder clicks “Credit Card Dashboard”, “Approve Transactions”
The Manager will be able to click on each one of his employees and verify that the transactions have been added to the correct job. There is a “Manager Approval” check-box on the right-hand side of each transaction. If the CC holder has selected the wrong job / cost code, then the manager can modify the job / cost code prior do approving the record.
- Invoices: A/P, Vendor Invoices, Vendor Invoice Utilities, Import Accounts Payable
- Payments: Orders, Order Entry, Order Utilities, Import Miscellaneous Job Costs
